From the Administration section, you can invite people to a portfolio, change what each person can reach and, as a Portfolio Manager, set what Site Managers are allowed to do.
This article will help you:
- Understand the roles you can give people
- Invite someone to a portfolio
- Add, change or remove someone's access
- Set what Site Managers can do
Before you start
Portfolio and Group Managers and Members can open Users. Reviewers and Site Managers can't. Only Portfolio Managers can open Manage Permissions. See Who can use what for the full list.
Roles at a glance
| Role | Scope |
| Portfolio Manager | Manages the whole portfolio, including its users |
| Portfolio Member | Works across the whole portfolio |
| Portfolio Reviewer | Views the whole portfolio |
| Group Manager | Manages one group within the portfolio |
| Group Member | Works within one group |
| Site Manager | Works on the specific buildings assigned to them |
| Site Manager Reviewer | Views the specific buildings assigned to them |
When you pick a role, the page shows a short description of it. A person can hold more than one role, for example, Portfolio Member across the portfolio and Group Member on one group.
See who has access
Go to Administration > Users. The page lists everyone with access to the portfolio, with their access, status and when they were last active. Use Search by name or email to find someone.

Invite a user
On Users, select Add user. A panel opens on the right.
Enter their Email.
Choose a Role. A short description of the role appears below it.
Pick the Group or Buildings the role covers. For buildings, search by name or choose Select all.
Select Send invite.

You can invite someone as a Portfolio Member, Portfolio Reviewer, Group Member or Site Manager. The roles you're offered depend on your own role.
Someone new to Measurabl gets an email to set up their account, and shows as Invited until they accept, then Active. To send the invitation again, select Resend invite. People who already use Measurabl get access straight away, without an email. If your organization signs in with single sign-on, no email is sent.
Change someone's access
Only Portfolio Managers, and Group Managers within their group, can change or remove someone's access. Members can see who has access and invite people.
1. On Users, select the person. Their access panel opens and lists each role they hold, with the buildings it covers.
2. Make your change:
- Select Add access to give them another role or scope.
- Select Change to replace a role, or Change buildings to update a Site Manager's buildings.
- Select Remove to take a role away, then confirm Remove access. If it's their only access, they're removed from the portfolio.
3. Select Done.

Set what Site Managers can do
Only Portfolio Managers can view and change these settings.
1. Go to Administration > Manage Permissions. The page opens as Permissions, with the role set to Site Manager.
2. Switch each permission to Enabled or Disabled. Permissions are grouped by area.
3. Select Save changes. Select Cancel to discard your changes.

These settings apply to every Site Manager in the portfolio.
Common questions
How do I remove someone from the portfolio? Remove their access. Select the person, then select Remove on each role they hold and confirm Remove access. When you remove their last role, they're removed from the portfolio. Their access to other portfolios isn't affected.
Why can't I invite someone as a Portfolio Manager? Manager roles can't be given by invitation. Contact Measurabl Support at support@measurabl.com.
What can each role do? See Who can use what for each role, feature by feature. In short: Managers run the portfolio or group, Members work on its data and can invite people, Reviewers only view, and Site Managers work on their assigned buildings within the portfolio's Site Manager permissions.
Can a Group Manager invite people? Yes. Group Managers and Group Members can invite people into their own group, as a Group Member or a Site Manager for that group's buildings.
How do I cancel a pending invitation? Select the person, then select Remove on their access. If it's their only access, they're removed from the portfolio.
What does Last Active mean? The last time the person used Measurabl, in Navigate or in Core.
Are Site Manager permissions set per person? No. The permission switches apply to every Site Manager in the portfolio. Which buildings each Site Manager can reach is set per person.
Can I see a history of access changes? Navigate doesn't show one. Contact Measurabl Support at support@measurabl.com if you need a record.
Do invitations expire? The link in an invitation email works for 5 days. After that, the person still shows as Invited: select Resend invite to send a fresh link. You can resend once every five minutes. People who sign in with single sign-on don't get a link, so nothing expires for them.
What can Site Managers be allowed to do? Depending on the portfolio's settings, on their assigned buildings only: add, edit and delete meter readings; assign gaps; upload bills; and use Bulk Import templates and import history. Data locks stay with Portfolio and Group Managers.
